Prom Planning Checklist: A 12-Week To-Do List for Student Committees

Planning a prom is a big job for a student committee — and the difference between a smooth event and a stressful one is almost always the timeline. Here's a 12-week checklist that keeps every moving part on track, from theme to the final song.

Weeks 12–10: Foundation

Set the date, confirm the budget, and choose a theme. Book the venue early — popular Bay Area dates go fast. Form subcommittees (decorations, tickets, music/entertainment, food) and assign leads. This is also when you should start researching your DJ.

Weeks 9–7: Book the Big Vendors

Lock in your DJ and A/V — this is the vendor that makes or breaks the dance floor, so don't leave it late. Confirm catering, photo backdrops, and any rentals (lighting, staging). A pro DJ who specializes in school events will also help with clean-edit music and crowd-appropriate energy.

Weeks 6–4: Tickets, Theme, and Marketing

Open ticket sales, finalize decorations to match the theme, and start promoting. Order any custom signage or props. Confirm the prom court process and timeline. Keep your DJ in the loop on the schedule so they can plan their set around court announcements.

Weeks 3–2: Finalize Details

Confirm final headcount with the venue and caterer. Build the night-of timeline (arrival, court, dancing, royalty announcement, finale). Share the timeline with your DJ and venue. Do a walkthrough if possible. Confirm chaperone assignments and security.

Week 1: The Final Week

Confirm every vendor 48 hours out. Prepare a day-of contact list. Review the music request list with your DJ — focus on current Top 40, Hip-Hop, EDM, and TikTok hits students actually want. Confirm clean-edit policy. Do a final venue walkthrough.

Night Of: Run the Show

Have your committee lead and your DJ/MC on the same page. The MC handles announcements and keeps the timeline; the committee handles logistics and chaperones. Trust your DJ to read the crowd and keep the floor packed — that's their specialty.

The Secret to a Great Prom

The single biggest factor in a memorable prom is the DJ. A DJ who plays the current hits students want, keeps the energy up, and runs the announcements smoothly turns a 'fine' prom into the one everyone talks about. Book early and book a specialist.
